Their purchase orders (POs) arrive in varied formats like paper and PDF, with up to 15 data points needing manual entry into multiple data systems. Ten customer service representatives handled this data entry, consuming significant time and effort. Challenge: Manual Process Inefficiencies The supplier's accounts receivable/payable (AR/AP) processes were inefficient and error-prone. Ten customer service representatives spent considerable time re-entering data from paper and PDF purchase orders into the company’s Enterprise Resource Planning (ERP) system. Solution: Microsoft Teams, Power Automate & Cognitive Services Softura introduced a solution using Microsoft Teams, Power Automate, and Cognitive Services. They created a new Teams channel integrated with Microsoft Cognitive Services' Computer Vision for intelligent image processing and Optical Character Recognition (OCR). This system could read and extract data from over 100 different types of POs, automatically mapping them to the ERP system. The system integrated with multiple data sources—emails, file shares, faxes, and scanned images—to capture and validate PO data. Leveraging intelligent image processing and AI, the solution accurately extracted and mapped data, flagged exceptions, and directed uncertain cases to human quality assurance (QA) through Microsoft Teams for review. Straight-Through Processing (STP) sped up payment processing by three days. Benefit: Rapid ROI and Significant Savings The automated solution yielded major benefits, achieving ROI in less than six months and saving over $300,000 per year. Integration with the ERP and third-party systems eliminated manual data entry, cutting manual labor by 96%.
