Client - Infleqtion Industry - Quantum Technology Technology - Microsoft SharePoint | Power Automate ABOUT THE CLIENT Infleqtion is a global leader in neutral-atom quantum technology, delivering quantum computing and sensing solutions for government, enterprise, and research. The client collaborated with JJC Systems to build a simple and robust workflow for their engineering Change Orders. We used Microsoft SharePoint & Power Automate to build the solution. CHALLENGES FACED - Inconsistent document control and file organization across teams. - Limited version traceability; risk of reviewers referencing outdated files. - Manual multi-reviewer coordination, causing delays and follow-ups. - Low visibility into reviewer accountability, notes, and decision history. PROJECT OBJECTIVE Design and implement a simple, robust document control workflow for Engineering Change Orders that standardizes submissions, automates reviewer notifications, and improves collaboration and traceability. BUSINESS SOLUTION - Defined & created SharePoint architecture (sites, libraries, document sets, lists) and role-based access (submitter, reviewers). - Power Automate Workflow: Triggered by submitters when the ECO list item is ready to be reviewed by approvers.. - Automated notification emails, folder/document link, documents in review, notes (or 'None'), and approval instructions. KEY OUTCOMES Review cycle time reduced by 90% ECO rework reduced by 95% due to clearer version control On-time reviewer response improved from 30% to 100% CLIENT REVIEW Thanks for the great work.
